Candidate Responsibilities include but not limited to:
Provide office support services in order to ensure efficiency and effectiveness in the CTS department
Answer all incoming calls and handle caller enquiries when possible
Receive, direct and relay phone calls, messages, e-mails and faxes
Attend to guests and visitors in the reception area
Maintain the general filing system and file all correspondence
Receive and send mail, parcels and delivered goods
Screen calls for management
Assist the General Sales Assistant with general office duties
Provide administrative duties for CTS
Oversee the overnight bag
Ensure that you project a professional image
Report and follow-up on all maintenance issues within the building
Ensure reception and boardrooms are tidy at all times
Assist with welcome packs and stationery requirements for new staff
Staff Attendance register
Presentations – assist with printing, binding, photocopying, etc.
Refreshments – organize refreshments for meetings
Ensure photocopiers are filled with paper, oversee stationery inventory
PA duties – assist Group Head: Sales Operations and Group Head: Sales with PA duties when necessary
Data Capturing
Drafting of letters
Maintain client confidentiality
Update internal staff list
Qualifications and Experience:
Matric
At least 2 years’ experience as a receptionist or admin assistant – preferably in a sales environment
Understanding of the television and/or advertising industry would be an advantage
Sound knowledge of general office administration
Possess good work ethics
Must be friendly and articulate
Must be well-groomed
Excellent communication skills, speak/read/write in English
Strong interpersonal skills
Must be computer literate (MS Word, MS Excel, MS PowerPoint, MS Outlook)
Must be assertive when required and a team player
Must pay attention to detail
Be respectful, honest, and trustworthy
