Job summary
A great opportunity has risen for competent Site Office Administrator to join our company MCBE Constructo JV in Theunissen at Sibanye Stillwater Beatrix Mine, Free State, on a fixed term contract.
We are looking for an individual who have great attitude towards their work and have previous experience and the relevant qualification within the field Site Administration.
Position Outline
The Office Administrator will look at after the daily account of the office. They also look after all the visitors that come to the office. The Office Administrator is required to be present for all meetings. They are interface the communication process with the relevant management personnel and all other stakeholders, i.e. employees, clients and suppliers.
DUTIES AND RESPONSIBILITIES
- Prepare and code select invoices including matching with receiving slips
- Manage invoices relating to assigned A/P accounts including batching and entering
- Assist with all company receivables
- Reconcile monthly utility statements
- Maintain master list of utility accounts by property and prepare monthly usage reports
- Prepare vendor documentation for submission to finance
- Assist with administrative overflow and special projects from other departments as needed
- Prepare weekly and monthly reports Manage bi-weekly office supply orders and maintain appropriate quantities in Site Office stock room
- Keeping a close watch on all the duties being performed by each department.
- Reporting about the office to the general manager.
- Preparing a daily report about the office.
- Looking after the budget of each department.
- Oversee the office supplies and replenishing the stock upon depletion
- Manage petty-cash for the Site and coordinate the process with all Departments
- Management the Engagement Process with all Mine entries and leavers and submit a weekly update report to all relevant stakeholders
- Implementing filing systems for the office.
- Helping the office staff keep clean and organized files and databases.
- Preparing correspondence, presentations, reports, proposals, and memorandums.
- Assigning different duties and jobs to the office staff and personnel in the Administrative Team
- Monitoring the operations going on in the office.
- Scheduling meetings and appointments for upper level staff members and with executive functions.
- Managing the staff’s schedule and assist with the necessary logistical arrangements
- Other projects as required
Requirements
- Matric Certificate,
- Business Administration or relevant additional certificate will be advantageous
- A minimum of 3 years’ Administration Experience working on a Mine Site
- Computer Literacy and a great Microsoft Proficiency
- Exceptional Customer Service Skills
- Exquisite time management skills
- Great multi-tasking skills and the ability to prioritize work
- Great attention to details
- Advanced problem-solving skills
- Very strong planning skills and organizing skills
- Basic Financial Matrix/ systems Understanding
- Excellent Communication Skills
